Refugee Services of Texas, Inc. seeks a Software Administrator to lead RST in launching a new case management software system across six cities and upwards of 200 staff. This position acts as the lead project manager for the initial implementation planning, system configuration phase, data integration and user testing, and system implementation. Duties include: creating work flows, conducting user training, obtaining product expertise, maintaining data integrity, and establishing reporting confidence. This position will be responsible for mapping custom workflows, suggesting business improvements, and documenting internal procedures. The data from this system will help set strategic direction, support revenue/grant goals, and assure compliance in programmatic audits.

The right person for this position will be an organized, analytical, problem solver who can move things forward. The right person will be able to quickly analyze data, be a strong communicator who can create custom documentation as needed and present material and train all levels of staff. The Software Administrator will report to the Senior Regional Director. The individual is expected to start November 2021. This position’s home site may be in any RST city – Amarillo, Austin, Dallas, Fort Worth, Houston, Harlingen.

** RST staff currently work a hybrid schedule of three days in the office per week; this is subject to change at the discretion of RST.

Job Duties:

  • Ensure all programs are using the system as required by their program or management reporting. Work in conjunction with the Programs Department to ensure data is used for additional funding and solicitation of new funders to ensure greatest return on investment
  • Track, analyze and report findings from data collection and make suggestions for changes in strategic plan
  • Manage the integrity of data for agency wide reporting
  • Display a mastery of the system software to its fullest capability for metric/goal tracking
  • Work closely with IT staff, grant writers, program directors and super users
  • Coordinate with Caseworthy support staff and act as primary contact for Caseworthy
  • Manage a training program for super users, new staff and retraining of existing staff
  • Monitor agency wide reports and outside reporting to ensure the accuracy of data demographics, usage, outcomes, etc. Monitor usage and produce custom reports as needed
  • Manage the Help Desk inquiries direct from the system
  • Administer, track and communicate system changes for workflow or program change requests
  • Write documentation and policies for system users and departments
  • Administer and track all user password changes
  • Perform QA audits of data in the system to ensure validity and integrity
  • Write customized reports upon request from users
  • Coordinate the administrators and super users support to ensure properly trained staff
  • Implement a support network for super users (scheduled updates, info sessions, etc.)
  • Establish consistent communication with users to educate them on application updates including software upgrades
  • Maintain a formal system for testing and implementing upgrades
  • Report project status and progress of initial software implementation to senior team on a regular basis
  • Ensure close communication with both end user and management at all times

  • BA in Computer Science; Bachelor of Science in Computer Science (BSCS) or combined education/work related experience.
  • 2-3 years relative experience working with large databases
  • Experience writing simple and complex stored procedures
  • Working knowledge of SQL Server, SSRS, and ability to write queries. Ex, Query Builder
  • Demonstrated project management skills highly desired
  • Ability to prioritize competing deadlines and thrive in a deadline driven environment
